Why Your Small Business Should Have a Proper Email Address
When clients come to me for a website project, one question comes up surprisingly often:
“Will you be setting up my emails too?”
It’s a fair question, but the short answer is no. Website design and email hosting are two separate things. The good news is that setting up a proper business email address is usually straightforward, and it’s well worth doing.
This post explains why having a hello@yourdomain.com email matters for small businesses, and how to set one up using your domain provider.
Why using a proper business email matters
It looks more professional
An email address that matches your website domain immediately builds trust. hello@yourdomain.com looks far more established than a free email address, especially when dealing with new clients or suppliers.
It builds credibility and trust
People are more cautious than ever about scams. A branded email address reassures customers that you’re a real business with a proper online presence.
It keeps things consistent
Your website, email address and branding all working together makes your business feel joined up and intentional.
It helps with deliverability
Emails sent from your own domain are less likely to end up in spam than free email accounts.
What a business email actually is
A business email is simply an email address that uses your website domain.
- hello@yourbusiness.co.uk
- enquiries@yourbusiness.com
- info@yourbusiness.co.uk
The email still works through an inbox, just like Gmail. The difference is who hosts it and what address it uses.
How to set up your business email
Step 1: Log into your domain account
This is wherever you bought your domain name. Look for sections labelled Email, Email hosting, Business email or Mailboxes.
Step 2: Choose an email plan
Most providers offer different options based on how many addresses you need and how much storage you want. One mailbox is usually enough to start.
Step 3: Create your email address
Choose the email name, set a password, and add any forwarding if needed.
Step 4: Access your inbox
You can usually use webmail or connect the email to an app like Apple Mail, Outlook or Gmail.
A note on costs
Business email is usually a paid service. Expect a small monthly or annual fee per mailbox. This is normal and worth it.
While I don’t manage email hosting or inboxes, I do make sure your website is set up properly to work with your email address. That includes contact forms, reply-to settings and general website setup, so enquiries land in the right place.
